  • What do VisaSmart Travel Solutions Ltd do?
VisaSmart Travel Solutions Ltd is a passport & visa agent specialising in obtaining visas, passports and other travel documents for tourists, business travellers or those travelling for employment. We process applications in our office before sending a member of our team to the relevant embassy or governing body to submit your paperwork in person before collecting your issued documents and returning them to you by secure, signed-for post or your preferred method of delivery.
  • Why should I use VisaSmart Travel Solutions Ltd instead of applying to the embassy directly?
VisaSmart Travel Solutions Ltd are a registered agent at the vast majority of embassies, consulates & other issuing bodies around the London area. While perks vary from place to place, this often allows our attending specialist to skip queues & reduce waiting time, use payment methods otherwise unavailable to members of the public, obtain documents in a faster manner than the usual processing time and also use our working relationship with counter staff that has been built over many years of attending their embassy to come up with solutions to any problem that may arise during an application. As well as this, VisaSmart Travel Solutions Ltd provides a free document checking service as part of our package on every application to ensure that all documents are accurate & correct before submitting them to the relevant issuing body.
  • How do I engage your services?
If you wish to use our services to handle your application for you, your first port of call needs to be the relevant service page on our website. You can get there using the Visa Calculator on our home page. From here, you can download your visa pack, view the list of requirements & read up on all necessary information with regards to your application (please note it may sometimes be necessary to complete an online application form on the authority's own website. In these cases we will direct you there from our own service page). Once you have printed, completed & signed all listed documents for your application, you must deliver them to our offices using secure packaging and a trackable, signed-for delivery method such as Royal Mail Special Delivery. We will begin to process your application upon receipt of your documents.
  • What delivery method do you recommend to get my documents to you?
For applicants sending documents to us from within the United Kingdom, we would strongly recommend using Royal Mail Special Delivery. This is a next working day delivery service and will arrive with VisaSmart Travel Solutions Ltd before 1.00pm the following day. This will give us plenty of time to process your application that afternoon ready to submit your documents to the embassy the morning after we receive them. Special Delivery is available from all post offices in the UK and provides the sender with a tracking number and requires a signature upon delivery.
  • Do I need to send you my passport?
Depending on what service you are applying for, you may need to send us your passport. Generally all applications for a travel visa will require your passport to be submitted along with your application form and other supporting documents. Requirements for each service can be found on the corresponding service page. If you are required to send us your passport, please ensure that you use secure packaging with all potential openings firmly sealed.
  • How long after you receive my documents do you begin processing them?
As soon as we receive your documents, we begin processing them and logging relevant information onto our database. This is a secure system and we do not share your private information with any third party. You will receive a confirmation email to the address that you provide to us to confirm receipt of your documents. Your documents will be checked upon processing and if there are any discrepancies we will attempt to contact you to have them resolved. If your paperwork is in order and ready to be submitted straight away, we will take your application to the relevant issuing body the day after we receive them.
  • Are you able to submit documents to an issuing body the same day you receive them?
It is usually not possible to submit documents to an issuing body on the same day that they are received. This is due to many reasons, namely embassy/consulate opening hours, courier logistics and necessary administration. However, if your case is extremely urgent, we may be able to help. Please get in touch with a member of our team to discuss how this might be possible.
  • What correspondence should I expect from you during the process?
We appreciate that applying for travel documents can often be a nervous & anxiety-inducing process. That is why we endeavour to keep all our clients 'in the loop' on their applications to help you feel relaxed and assured you are in good hands. You will receive a confirmation email to advise you we have received your documents, as well as follow up communication should any issue arise with your application during the process. You will also receive confirmation via email that we have collected, checked and dispatched your issued documents to you at the end of the process. Should you wish to check in on your application at any time, you may call us on 02045139940 or send an email to admin@visasmart.co.uk
  • Do you provide a guarantee?
Unfortunately due to the nature of our business being largely reliant upon decisions made by embassies, consulates or other issuing authorities, we are unable to offer any guarantee as to the outcome of your application. We will do all we can to ensure you are issued with exactly what you apply for, but all decisions made on visa validity, restrictions and issuance are at the sole discretion of the appropriate authority.
  • What payment methods do you accept?
We accept payments via Paypal, bank transfer, cheque or cash. For online payment methods, an invoice will be provided to you upon receipt of your documents. Payment must be made at your earliest convenience as this may delay the process if we are unable to pass your service fees to the relevant issuing authority. For cheque & cash payments, payment must be supplied with the rest of your documents at the start of the process.
  • Do I pay before or after you have processed my application?
All payments must be made at the beginning of the service before we have submitted your application to the relevant authority. This is because we must pay all issuing authorities their portion of the fee upon submission of your documents. Failure to provide necessary payment with your documentation may result in a delay with your application until payment has been received in full.
  • What should I expect to receive in the post at the end of the process?
Depending on what you have applied for, what you receive at the end of the process will differ. If you have applied for a visa and provided your passport, you will receive your passport back with the visa sticker inside it on the first available blank page. If you have applied for an e-visa, you will receive electronic confirmation that your visa has been approved via email, as well as a physical printed copy via post if requested. All application documents submitted to an issuing authority with the exception of passports & I.D cards are kept on their premises and not returned. For this reason, we recommend that you only provide photocopies of certificates where necessary unless specifically requested otherwise.
  • What do you do with my data & information once the process is complete?
Any supplied information on our Request Form forms your contract with us once accepted. This is the only personal data that is stored by our company apart from any receipts obtained by a governing body for the payment of your document process that may or may not contain your surname. For accounting purposes, we are unable to destroy any receipt for payments, but we securely destroy all Request Forms stored 1 month from your completed application date unless there is a complaint or legal practice preventing us from doing so. Any data sent to us electronically is typically deleted after 1 month from your completion date but may be sooner. Any payment data sent to us is typically destroyed as soon as payment has been taken. We do not share or sell any data that we hold with any third party apart from the relevant governing office or third party such as applicantion centres relevant to completing the service who are also prohibited from using information for any other purpose. Security measures are in place to protect your information which is reviewed regularly. For a full brief of our Data protection and privacy policy, please click here
